Hotel software built for how independent hotels actually run

Front desk, folios, restaurant and bar, housekeeping and night audit — all posting to one double-entry ledger, with a direct booking site so you keep the commission.

For independent hotels, guest houses and small chains from 10 to 200 rooms, anywhere in the world.

Why operators switch

The capabilities further down are table stakes — every vendor has them. These are the reasons businesses actually move.

Most property systems report. This one posts.

A typical PMS produces a revenue report and hands it to your accountant to re-key. Here, every folio charge, payment, refund and night-audit posting lands in a double-entry ledger as it happens — so the occupancy report and the trial balance are drawn from the same rows and cannot disagree.

The booking engine belongs to you, not an agent.

Guests who search for your hotel by name should not cost you a commission. SuiteHub gives you a branded booking site on your own domain, taking card payments in your own currency, so a direct guest stays direct.

The restaurant, bar and shop are in the same books.

Outlet sales either charge to the guest folio or take payment directly, moving stock and posting revenue in one step. There is no second system to reconcile, and no month where food cost is a guess.

No bill, no card.

In most hotels the lock system is an island — supplied by one company, installed by another, and joined to the accounts by nothing. A card can be cut for a room with no booking behind it, and the room shows as vacant while somebody sleeps in it. Here the folio is opened and the charge posts before the system will encode a card, so a stay has to exist in your accounts before the door will open.

It keeps trading when the line drops.

Run it on your own network and check-in, folios and the till carry on through an internet outage. A front desk that stops when the connection does is not a front desk.

Take this to any demo

Ask any system you are considering to show you the journal entry a booking just created.

Most property systems will show you a room board and an export button. The question is whether the accounting entry exists at the moment the booking does, or gets assembled later by someone reconciling two systems — because that gap is where a room gets occupied but never billed.

What usually goes wrong — and what we do about it

Booking sites take a double-digit cut of guests who already knew your name

SuiteHub gives you a branded booking site that takes card payments directly, so a guest who searches for your hotel books with you instead of through a listing.

The occupancy report and the accounts never agree

Every folio charge, payment and refund posts to a double-entry ledger as it happens. The revenue report and the trial balance are drawn from the same transactions.

Restaurant and bar sales go missing between systems

Outlet POS charges to the guest folio or takes payment directly, moving stock and posting revenue in the same step.

The front desk stops when the internet does

Reservation ERP runs on your own network, so check-in, folios and the till keep working through an outage.

Night audit is a spreadsheet exercise

Night audit is built in: it posts room charges, rolls the business date and produces the daily revenue and occupancy position.

Hotels & Hospitality questions

Do I need both Reservation ERP and SuiteHub?

Not necessarily. SuiteHub covers the booking website, payments and day-to-day front desk. Reservation ERP is the full property management and accounting system with restaurant outlets, night audit and financial statements. Many hotels run SuiteHub for direct bookings and Reservation ERP for operations and accounts.

Will it handle the taxes and levies charged on accommodation in my country?

Yes. You define the rates that apply — VAT or GST, plus any city, tourism or consumption levy — per item and per outlet. Each posts separately in the ledger, so a return is produced from the accounts rather than reconstructed.

Can it manage more than one property?

Multi-property operation is supported, with the number of properties governed by your subscription tier.
